What to Send for an Accurate Thermal Insulation Quotation

The clearer the information, the faster and firmer the quotation. This guide sets out what an insulation subcontractor needs to price accurately, and what a free site survey covers.

Quick answer

What should you send for an accurate insulation quotation?

Send the issued M&E drawings, pipe and duct schedules, the project specification, the construction programme and access or site information. With those, an insulation subcontractor can measure quantities, confirm materials and thicknesses and return an itemised, firm quotation. Anything missing is covered by a free site survey.

Why do M&E drawings matter?

The M&E drawings show the routes, sizes and locations of every pipe and duct the insulation must cover. From them the subcontractor measures the linear metres, fittings and supports. Without drawings, the quote is an estimate at best; with them, it can be firm.

What are pipe and duct schedules?

Schedules list each service, its pipe or duct size and its operating temperature. That drives the insulation thickness from BS 5422 and the material choice. A full schedule lets the subcontractor price each service correctly rather than assuming a single default.

Why is the specification important?

The specification names the materials, thicknesses, finishes and standards the installation must meet. It removes guesswork on whether, for example, a service needs mineral wool or phenolic, or whether external runs need aluminium cladding or PIB. The quotation is priced against the specified products.

How does the programme affect pricing?

The programme sets when the work starts and how long it runs. A tight programme may need more labour at once; a phased programme may mean several visits. Access windows, working hours and other trades on site all shape how the work is resourced and priced.

What access and site information helps?

Details such as working at height, confined plant rooms, live occupied buildings and permit-to-work systems all change how the job is done. Telling the subcontractor up front avoids revising the price later. Photographs or a brief site visit answer most of these questions quickly.

What does a free site survey cover?

A free survey confirms the drawings on the ground, measures awkward areas, checks access and identifies any details the drawings do not show. It is the quickest way to turn a budget estimate into a firm, itemised quotation — and it is offered at no cost to the enquirer.
